Logitall is an IT asset management service operated by Elliot Adams ("we", "us", "our"). We provide software that enables organisations to manage and track their IT assets and staff declarations.

2. What Data We Collect
2.1 Data about your organisation's staff
When your organisation uses Logitall, we process the following personal data about staff members:
- Full name
- Work email address
- Department
- Device and asset assignment records
- Declaration history and timestamps
- Support ticket content and correspondence
2.2 Data about administrators
For administrators who log in to manage the system:
- Username
- Login timestamps and activity logs
3. How We Use Your Data
We use personal data solely to provide the Logitall service, including:
- Managing IT asset declarations and assignments
- Sending automated form reminders to staff
- Providing customer support via the support portal
- Generating audit logs for compliance purposes
- Sending service-related emails (welcome messages, form requests)
We do not use personal data for marketing, profiling, or any purpose beyond delivering the service.
4. Legal Basis for Processing
We process personal data on the following legal bases under UK GDPR:
- Contractual necessity — to perform the service agreed with your organisation
- Legitimate interests — to maintain audit trails and system security
- Legal obligation — where required to comply with applicable law
5. Data Retention
We retain personal data for as long as your organisation's subscription is active.
Upon subscription termination:
- Personal data is retained for 90 days to allow for account recovery or data export
- After 90 days, personal data is permanently deleted or pseudonymised
Upon an explicit deletion request from your organisation:
- Personal data is deleted or pseudonymised within 30 days
- Anonymised audit trail records may be retained for system integrity purposes
6. Data Storage and Security
All data is stored on servers located in Frankfurt, Germany (EU) operated by Render Services Inc. Data does not leave the EU/EEA in the ordinary course of processing.
Sub-processors we use:
- Render Services Inc. (hosting infrastructure) — Frankfurt, EU
- Anthropic PBC (AI-powered support triage) — USA (Standard Contractual Clauses apply)
- Zoho Corporation (transactional email) — EU data centre
We implement appropriate technical measures to protect personal data, including access controls and encrypted transmission (HTTPS/TLS).
7. Your Rights
Under UK GDPR, individuals have the following rights regarding their personal data:
- Right of access — request a copy of data held about you
- Right to rectification — request correction of inaccurate data
- Right to erasure — request deletion of your personal data
- Right to restriction — request we limit how we use your data
- Right to data portability — receive your data in a machine-readable format
- Right to object — object to processing based on legitimate interests

9. Changes to This Policy
